Memorized Reports

Memorized reports are report templates that save the format of a report, but not the data that fills the report.

Note: Memorized reports in QuickBooks and memorized reports in XpandedReports have a very similar look and feel but are structured very differently, the two are not compatible. XpandedReports reports are far more flexible than QuickBooks reports and include many features that QuickBooks reports do not. If a memorized report exists in QuickBooks that requires the additional features of XR such as computed columns, grouping, subtotals, etc. The report will need to be created from one of the reports currently available in XpandedReports.

Exporting

After you customize a report to fit your needs, you can share the report template with clients and coworkers by following these steps.

  1. Make sure you have customized the report appropriately with date ranges, filters and other settings for your intended recipient.
  2. In XpandedReports, the memorize report feature is similar to the same steps you would use in QuickBooks.
  3. In XpandedReports, open the QuickBooks menu, choose Memorized Reports and then click Memorized Reports List.
  4. Select (highlight) the report you want to export.
  5. Click Memorized Report at the bottom of the list and then click Export Template.
  6. Note the location in which you save the file and the file name you provide.
  7. Click Save.

You can now share the exported file via your network, email or any other means. Each recipient will need to use the XpandedReports software to open the shared report template and be connected to the QuickBooks data file.

Importing

In XpandedReports, memorize the report following the same steps you would use in QuickBooks.

  1. In XpandedReports, open the QuickBooks menu, choose Memorized Reports and then click Memorized Reports List.
  2. Click Memorized Report at the bottom of the list and click Import Template.
  3. Navigate to where the template file was saved and select the name of the memorized report file you want to import.
    • The file, which has a .XRM3 extension, may be on a hard drive, network drive, or removable media drive.
  4. Click Open.
  5. Fill in the window that appears:
    • Assign a different name to the memorized report (or report group) if you want.
    • To add the memorized report to an existing group, choose the Save in Memorized Report Group checkbox and choose the group you want from the drop-down list.
  6. Click OK.
