I tried to access XpandedReports but it says “ALL SEATS ARE CURRENTLY IN USE”. What do I do?

Anytime you get that message you can always log on via https://xpandedreportservices.com/account/index.php then at the top there is a button for installs and  on the far right is a column for “in use” so you can see which install XR thinks is using the program.

I am trying to filter a report, but it's not working. What can I do?

Filters are case-sensitive and a mismatch of capital and lowercase letters is the most common cause of problems with filters. Make sure you type the names of all fields and labels in XpandedReports exactly as they appear in QuickBooks, including capital and lowercase letters.

How do I "undo" a change?

A guess the question is what needs to be undone?  Undo is a double edge sword.  Sometimes I accidently hit undo in Word and loose the changes I just made. XR has a drop down for computed columns so users can get to past formulas.  A better way might be to keep a version of every memorization and give the ability to go back to a previous version or see the differences.

My report is running very slowly. What can I do?

If your report is running slowly, check these settings:

Confirm that your computer meets the system requirements for running XpandedReports (see the question in this section titled, “What are the systems requirements for running XpandedReports?”). Pay special attention to the minimum requirements for processor speed and memory.

Change the preference to “Open the Modify Report dialog bug prior to running the report”. This will give you the opportunity to modify the date, columns and other elements of the report prior to running it.

Use filters within the report after it has been created, rather than using the “Modify Report” button.

My QuickBooks data file includes a large volume of data. Can I modify report options (e.g., date ranges) before I run the report?

If your QuickBooks data file includes a large volume of data, it will be helpful to narrow the date ranges or modify other report options before running the report.

To accomplish this, follow these steps:

  1. In the Edit menu, choose "Preferences"
  2. Click the option labeled "General"
  3. Check the box labeled "Prompt me to modify report options before opening the report"
  4. Click "OK"

QuickBooks has stopped responding. Why? What can I do?

QuickBooks can appear to be unresponsive while XpandedReports is requesting data from it. This is normal and QuickBooks will begin responding again after XpandedReports has retrieved the data it needs.

For QuickBooks Enterprise users, only the specific XpandedReports user who is requesting data from QuickBooks will notice that QuickBooks is not responding; any other users will not notice any access or responsiveness issues.

When I start XpandedReports, I see a black box and then nothing happens. What do I do?

  1. Make sure Java 6 or later is installed on the same computer (workstation or server) where you have installed (or plan to install) XpandedReports. You can download Java from Sun Microsystems <http://java.com> .
  2. Download the replacement Windows shortcut for XpandedReports for QuickBooks <xrqb-java-shortcut.zip> .
  3. Open the downloaded .zip file and extract the contents (the shortcut itself) to the directory in which XpandedReports has been (or will be) installed. The shortcut must be saved in the XpandedReports directory in order to work properly.
  4. The shortcut expects Java to be installed in this location: C:\Program Files\Java\jre6\bin\javaw.exe
  5. If Java is installed in a different location, edit the properties of the shortcut so that the path in the shortcut matches the directory in which Java is installed.
With the shortcut in place and pointing to the proper location for Java, you can now run XpandedReports.

Note: Special consideration for Hosted Solutions, the black box or hanging when trying to run could be caused by improperly exiting your Hosted Solutions environment.  When exiting your Hosted Solutions, ensure you exit as though you are logging off Windows and not simply click the X to disconnect on the remote session screen.

The description is too long to fit on one line. What can I do?

Future versions of XpandedReports will include a word-wrap feature. In the mean time, you can export the report to Excel to use ites word-wrap formatting feature.

In Excel, highlight the column to which you want to apply word-wrap and right-click to format the cells. On the “Alignment” tab, check the “Word Wrap” box.

Why don't I see any custom fields in Edit >> Preferences >> Custom Fields?

While watching our demonstration videos or webinars, you may have noticed several custom fields listed when viewing the Edit menu >> Preferences option >> Custom Fields list. The list of custom fields is specific to each installation of QuickBooks. If you don’t see any custom fields in the list, that means you have not configured any custom fields in your installation of QuickBooks.

Can I create reports which include payroll data?

If the QuickBooks integrated application preference is not marked to include access to "personal data" the reports which require paycheck information will be incomplete. Below is the screen shot to demonstrate how to correct this issue:


Do I need to export to Excel to modify the format of a report?

Maybe. XpandedReports offers tools to format reports to help elementat the need to export to Excel, but sometimes it is necessary.

Can I edit the data in XpandedReports reports?

No, because the data is extracted directly from QuickBooks, you need to create, change or delete all data in QuickBooks. It is often the case that you will want to filter (instead of edit) your data in XpandedReports, and all reports offer powerful filtering features.

If you need the XpandedReports report to show different values than it pulls from QuickBooks, you can export from XpandedReports to Excel to make adjustments there. Exporting to Excel for this reason can create challenges in keeping your data organized and up-to-date when the original data changes in QuickBooks.

What is the format of an exported report?

Exporting a report from XpandedReports includes several choices:

  • Comma separated values (.csv)
  • Tab separated values
  • A new Excel workbook
  • Export to an existing Excel workbook (to an existing sheet or to a new sheet)

The export produces a flat file. 

Note: The export does not include the formulas because XR has formulas in the computed columns that don’t exist in Excel, therefore doing formula export won’t work. The majority of the manipulation should be done in XpandedReports prior to the export so the need for further manipulation is significantly reduced.

How do I export data to a file without saving it?

How QuickBooks works is that it launches Excel and uses Excel’s OLE to insert data.  This means Excel has to be installed. 
XR saves the report first so that it does not require launching Excel. Therefore the user does not have to have Excel installed to save the reports in that format.

Can users submit ideas for reports?

Yes. Within the XpandedReports software, users can submit ideas for new reports by choosing Help then Report Request. This will open a web form with fields to describe the report and also allows for uploading a sample of what the report should look like. We consider each submission and will respond with one of three replies:

  1. XpandedReports can currently be used to create the report (or something very similar)
  2. XpandedReports does not currently have the functionality to produce the report, but it is on the development list.
  3. The report is beyond the scope of what XpandedReports can do.

How do I share a report with someone who doesn't have XpandedReports?

You can export the report to Excel or print it as a PDF. Both of these options produce static copies of the report that will not change even if the QuickBooks data changes.

We are a paperless office, how does XR support that initiative?

XpandedReports extracts data from QuickBooks through an electronic interface, so you don’t need to print anything from QuickBooks. Within XpandedReports, you can reduce or avoid printing by exporting to Excel or printing as a PDF. Both of these options allow you to share reports without printing.
