How do I get a trial version of XpandedReports?

Can I install XpandedReports on a server?

Yes.

If your users log into the QuickBooks or Fishbowl server remotely (via Citrix, Terminal Services, etc.), you will install XpandedReports on the server and all the users (workstations) will access XpandedReports via the server.

If you run the QuickBooks Database Manager on the server and the QuickBooks software is running on each workstation, then you will install XpandedReports on each workstation.

When you install XpandedReports on a server, please keep these requirements in mind:

  • Choose to “Install for Anyone Using This Computer”
  • Make sure the QuickBooks data file is open before you run XpandedReports the first time.
  • You must be logged in as Admin and in Single User mode.

How do I know if I am using the latest version of XpandedReports?

With XpandedReports open, there will be a message in the top bar in green if there is a newer version of the product available.

You can also compare the information from Help > About to see which version is currently installed and compare that to the version history page.

The version history page also provides the information to review the changes that have been implemented with each version.

How do I get the latest version of XpandedReports?

When you run XpandedReports, the software will notify you any time there is a new version available. The notification will include a link to download the new version from the XpandedReports web site.

Does XpandedReports work with Vista?

XpandedReports does work with Vista. The notes below will help you handle some of the nuances of installing this type of software on Vista.

For XpandedReports to work with QuickBooks on Vista:

  • UAC: User Account Control must be turned on.
  • Standard user permissions: Both QuickBooks and the XpandedReports must run with standard user permissions (NOT elevated to run as administrator).

This section covers how to configure UAC and Standard user permissions.

User Account Control

Windows Vista has the built-in ability to automatically reduce the potential of security breeches in the system. It does that by automatically enabling a feature called User Account Control (or UAC for short). The UAC forces users that are part of the local administrator’s group to run like they were regular users with no administrative privileges.

Using Control Panel to enable UAC

  1. Open Control Panel.

  2. Under User Account settings click on the “Add or remove user accounts”.


  3. Click on one of the user accounts, for example you can use the Guest account.

    NOTE: Depending on the how Vista is configured, you may skip this step.

  4. Under the user account click on the “Go to the main User Account page” link at the bottom of the page.

  5. Under “Make changes to your user account” click on the “Change security settings” link.

    NOTE: Depending on the how Vista is configured, you may not have “Change security settings”, skip this step.

  6. In the “Turn on User Account Control (UAC) to make your computer more secure”
    click to select the “Use User Account Control (UAC) to help protect your computer”. Click on the Ok button.

  7. You will be prompted to reboot your computer. Do so when ready.

  8. In order to re-unenable UAC just select the above checkbox and reboot.

    Run with standard user permissions

    1. Right-click on the QuickBooks desktop icon.
    2. Choose properties on the pop-up menu.
    3. Select the Compatibility tab
    4. Under Privilege level at the bottom, make sure administrator selection is unchecked.
    5. Repeat for XpandedReports.

I received a notification that the maximum number of users are logged into XpandedReports. How do I determine which users are logged in?

To view a list of the client keys associated with your account (including which are in use and which are not), visit https://xpandedreportservices.com/account/ and log into your account.

After logging in, click the “Client Installs” option on the left side. This will lead you to a listing of all the client keys that have been installed with your license.

Do I need to be logged in as an Administrator to run XpandedReports?

You must be logged in as "Admin" in single user mode, the first time XpandedReports establishes a connection to your QuickBooks data. After that, as long the preference is set to allow access to XpandedReports when QuickBooks is open, you do not have to be logged in as an Admin. After the initial connection XpandedReports will function properly in multi-user mode.

I am upgrading from v3 to v4. Will my memorized reports still work?

The easiest way to carry your memorized reports forward from the previous version to v4 is to do the following:

1. Open XpandedReports v3 and keep it running.

2. Double-click the v4 installation file you downloaded. This will begin the installation wizard. Make sure not to change the setting that installs the new version in a different place than the previous version.

3. After you complete the installation of v4, you will see all your v3 memorized reports in the list within v4.

If you have already installed v4 and you do not see your memorized reports, you can export them as memorized report templates from v3 and import them into v4 manually.

All of your v3 reports will work in v4. If you have any reports that involve one or more of these formulas, you will have to make a few minor adjustments:

x AND y
x OR y
x XOR y

These formulas are handled a little differently in v4 compared to v3. All of these functions still exist and they still work the same way, they just require a different format now.

x AND y becomes AND(x,y)
x OR y becomes OR(x,y)
x XOR y becomes XOR(x,y)

These three formulas now follow the same format as they do in Excel.

If any of your reports involve these formulas, just open the report and modify the formula to match the new format.
